Privacy Policy

1. What we collect

Contact details (name, email, phone), information you share about your education, immigration, or housing situation, documents you upload or send by email/WhatsApp, and payment details for ArrivEase's own service fees. We do not collect or store any tuition or rent payment information — those payments go directly to schools and landlords.

2. How it's stored

Documents are stored in encrypted cloud storage with access-controlled signed URLs. Account and case data is stored in a managed Postgres database. Access is limited to your assigned coordinator and relevant administrative staff.

3. Who we share it with

We share only what's necessary to deliver the service you've signed up for: your assigned RCIC or lawyer for immigration cases, schools for education applications, landlords for housing you've been matched to, and service providers we use to operate the platform (messaging, document storage, email, payment processing). We do not sell client data.

4. Messaging

If you message your coordinator through WhatsApp, those messages are synced into your ArrivEase account so your coordinator's records stay complete. Message content is handled under the same access controls as the rest of your account. ArrivEase staff with administrator access can read conversations between you and your coordinator — this is necessary so that another team member can step in with full context if your coordinator is ever unreachable, and so we can quality-check that the service we promise is actually being delivered. Every time an administrator views a client's messages, or edits a client, landlord, or coordinator record, that action is logged (who, what, when) for accountability.

5. Your rights

You can request access to, correction of, or deletion of your personal information at any time, subject to what we're required to retain for legal or regulatory reasons (for example, immigration case records). Contact privacy@arrivease.ca to make a request.

6. Retention

We keep personal information only as long as necessary for the purpose it was collected for, in line with PIPEDA Principle 5.

If you register but never complete a paid service — no application, no package, nothing — we delete your account and any documents you uploaded after 90 days of inactivity. This is automatic and scheduled, not something we do manually, and deletion is permanent: documents are removed from storage, not just hidden from view.

If you become an active client, we keep your records for the duration of our working relationship and for a defined period after your account closes, in line with applicable Canadian privacy law and any professional record-keeping obligations that apply to your case. Some records — for example, anything relevant to tax or financial reporting — may be subject to a longer retention requirement than the rest of your file; where that applies, only that specific category is affected, not your whole account.
